A FEW HELPFUL ANSWERS
Joining, organising, home-screen shortcuts and updates—explained in plain English.
GatherBridge helps clubs, sports groups, charities and communities organise events and coordinate who does what. Use one account to manage commitments across groups. Events can have optional sessions.
You can browse help, fictional demos and deliberately published public event listings without an account. Actual joining, registration, role actions and notes currently require sign-in. A signed-in participant can also manage eligible reservations for separately named guests. Attendance using only a link without login is a proposed next feature, and is not enabled.
Open the group invitation link, scan its QR or enter the code shared by an organiser. Sign in and confirm joining. Eligible event invitations can also offer an explicit choice to join their host group. Viewing a page or scanning never joins automatically.
Open My groups, your group, then Members. Expand Leave group, read the consequences, tick the confirmation and choose Leave group. Your unended membership-dependent roles and sponsored reservations are released; history and your account remain. Separate event registration or tickets need their own cancellation. Owners cannot leave while they own the group; ownership transfer is not yet available.
No. Every event in the public demo catalogue is fictional, with deliberately chosen November 2026 dates, example groups and invented venues. The catalogue has no booking, payment or role reservation action, and includes no private portal data.
Yes, where the organiser allows guests and you have access to that event. Sign in and choose the event-only route. This does not make you a group member or give you access to its private profile and member list. Admission, acknowledgements and tickets still apply when configured.
Guest-enabled events support both a guest using their own account and a participant adding a named guest. Each named guest has a separate identifier and role allowance. A named reservation does not create an account or verify the guest’s identity. Personal tickets and required document acknowledgements need their own account.
For self-selection, a successful claim confirms the role straight away. An approval-based request waits for a manager and does not occupy the slot. A manager offer reserves the slot until accepted, declined or cancelled. The available route is determined by the event’s saved allocation rules.
New events start at one role per person. Organisers can choose 1, 2, 3 or Custom (1–20). Events with sessions start at one role per person in each session, with an optional overall limit. Requests, offers and confirmed roles count separately for each account or named guest. Lowering a limit preserves existing confirmed commitments.
Use Withdraw on the role before the event ends. Use the event registration or guest event withdrawal control to cancel that participation, and cancel a named guest through your guest controls. A non-member’s registration cancellation releases their future roles and sponsored reservations; a member’s own roles and event registration remain separate choices. Past completed history is retained.
Yes. Current signed-in participants can add a plain-text note to that event. Other permitted participants and organisers can read it; organisers can add a note once they also participate. Each author edits or deletes only their own note. After cancellation, editing closes; authors retain their own read and delete access. Avoid putting private or sensitive information in a shared note.
Anyone with an account can create a group or a personal event without a group. Group owners can appoint group admins to manage events, and eligible event owners can delegate event management. Taking a chair, speaker or player role never grants admin permission. Used events and groups can be hidden with their history retained; only unused non-recurring drafts can be permanently deleted.
Open Share invitation / QR on the group or event. Eligible members and participating guests reuse the same current link, QR and code. Organisers choose 1–84 days, replace it or revoke it. Copy WhatsApp message prepares text for you to share yourself; Close sharing or Escape returns to the working screen. The app does not send messages for you. A personal ticket QR is a separate admission credential.
Open My groups and your group. Its next published event, or one happening now, appears above the tabs with your role. Events starts with Upcoming, including current events; change Event status for drafts, past or cancelled occasions. Events in the main menu combines permitted occasions across your groups.
A published single event opens at Roles for organisers, while an event with sessions opens at Sessions. Manage event starts at Roster for published or closed multi-session events; drafts start at Review. Use Available, Your roles and role/person search; organisers also have Needs attention. Editing remains in Manage or the other management tabs.
Yes. Organisers can use weekly or monthly recurrence, including ordinal weekdays such as the second and fourth Thursday. Holiday exclusions are editable and separate from the repeat rule. A Christmas break is never inferred automatically; review its dates before enabling it. Each generated occurrence keeps its own event identity and commitments.
Yes, from an event where you have current permitted access. Download the agenda as an Excel workbook or open its printable view. Yellow marks vacant roles, and pending offers are shown separately. Individual role times that have not been recorded remain blank. Historical personal access does not expose the complete current shared agenda.
The dashboard separates planned participation from manager-recorded completion. After an event, an authorised manager records whether a confirmed role was completed. The date passing does not record attendance automatically, and roles reserved for a named guest do not count as the sponsor’s own completed contributions.
Open What’s on and choose a category, city, When and optional keyword. Use Change location for another city or country. More filters holds exact dates, distance, participation and manual town/country entry; Sport adds sport and playing level. Use my location is optional and needs browser permission. Clear extra filters keeps the main search; Reset search also removes a remembered city. Public visibility does not grant membership, admission or a role. Demo events are fictional.
It only asks when you press Use my location. Location is optional, and you can choose one of the example towns instead. Coordinates stay in page memory for approximate distances, are not sent to the backend or stored in browser storage, and Reset filters clears them. Online examples appear separately and are not filtered by distance.
Organisers can display manual payment instructions, bank details and an external payment link. The app does not verify external payments or automatically issue admission from them. Integrated paid checkout and refunds remain disabled while seller, charge model, refund responsibility, fees and test-provider configuration are unresolved. Free RSVP and configured free tickets are separate from paid checkout.
If the organiser supplies a valid group invitation link, the event page shows a joining link and QR. Opening it takes you to the organiser’s WhatsApp invitation. Scanning does not automatically join the group, and GatherBridge does not read or send group messages.
Your combined personal dashboard and contribution history are private to your account. Group managers see permitted records for their own group. Current event participants can see that context’s permitted roles and notes. Guest access does not disclose private group contacts, membership lists or unrelated participation.
Open GatherBridge in your usual browser, then open Install GatherBridge from the page footer. If Install GatherBridge is offered, choose it and follow the browser instructions. A home-screen or desktop icon opens the same web app and account; you do not need a second account or an app-store download.
Open GatherBridge in Safari. Tap Share (sometimes inside the page menu), then Add to Home Screen. Keep Open as Web App on if that option appears, then tap Add. If Add to Home Screen is missing, look under Edit Actions. Open the new icon and sign in if asked. Menu wording varies by iOS version.
In Android Chrome, open the browser menu and choose Install and create shortcut, Install app or Add to Home screen, then follow the instructions. In desktop Chrome, use the address-bar install icon or menu → Cast, save and share → Install page as app. A normal browser bookmark is also fine if installation is unavailable.
Updates become available when a new version is published on the GatherBridge website. Save or finish any form first, connect to the internet, then reload the page or fully close and reopen the installed app. There is no app-store update or reinstall needed for normal page changes. An already open screen can keep its earlier version until reloaded; downloaded videos, PDFs and slides are snapshots, so download them again after an update.
Save any unsent work, check you are online, then close all GatherBridge windows and open the website again. On a computer, try a hard refresh: Ctrl+Shift+R on Windows/Linux or Command+Shift+R on Mac Chrome. If it still looks wrong, report the page and browser version to your organiser. Do not clear browser data as a first step: it may sign you out and remove saved preferences.
No. Software updates and event notifications are separate. Open the notification bell for your private in-app inbox and reminder preferences. Due in-app reminders cover eligible confirmed roles around 48 hours and two hours before an event. Background timing depends on the configured service. Device notifications need operator setup and your permission; installing the app alone does not enable them. Automated email and WhatsApp reminders are not operating.
You need a live internet connection for sign-in, current availability, joining and saving changes. The offline page does not confirm or queue a booking or role claim. Reconnect and check the saved status before assuming a change succeeded.
Browser menus can change. These official guides explain the available options:
